The one who makes sure everything works

Imagine a hybrid work environment where everything just flows smoothly—from physical workspaces to digital meetings, with systems working reliably and securely every time. It sounds like a dream, but it can become reality with the right support. It requires the organization to collaborate across different departments and functions, even if they are separate.

To fully realize the impact of implementing a Hybrid Workplace Manager, the following responsibilities need to be clearly defined:

  • The Business must specify how work is actually done in the workplace and meeting rooms to determine the necessary functionalities.

  • IT is responsible for meeting these needs with designated and qualified equipment such as video conferencing systems, meeting room booking panels, cameras, digital whiteboards, and similar tools.

  • Facility Management handles the design and layout of rooms, furniture, lighting, maintenance, and cleaning.

  • HR ensures access to various locations and supports employee well-being in the workplace and meeting rooms.

The new role of the Hybrid Workplace Manager becomes the enabler who ensures all these resources communicate, understand, and take each other’s needs into account.

How we work

During a workshop, we review the steps your organization needs to take to gain a comprehensive overview of your meeting spaces with a holistic focus on sound, lighting, interior, and technology in the rooms. We examine processes related to inventory, design, procurement, implementation, support, management, and user adoption.

This workshop provides you with a clear starting point to create a modern and functional hybrid workplace—where technology, meeting rooms, and work methods are seamlessly integrated. You will gain concrete insights and alignment across departments. Afterwards, we develop a tailored future plan based on your specific conditions.

After the workshop, you will have:

  • A comprehensive overview of your meeting rooms and digital work environments, including technology, sound, lighting, and user behaviors
  • Clear understanding of how different roles (IT, HR, Facility, Operations) need to collaborate for hybrid work to succeed
  • Suggestions on how the role of Hybrid Workplace Manager can be shaped within your organization—including responsibilities and authority
  • An initial inventory of needs and challenges related to meeting rooms, collaboration tools, and work environment
  • An action plan for next steps, customized to your organization's circumstances

This workshop is ideal for companies looking to take control of their hybrid environment and lay the foundation for better collaboration, smarter meetings, and a more cohesive communication experience.
